Offline Export and Backup

Your product's data is exported on a schedule to storage you own, so a copy exists whatever happens.

Your AI product holds records, settings and history your business now depends on, and today that data may live in one place only. This add-on exports it on a schedule you choose to storage in your own account, in open formats such as CSV or JSON. Old copies rotate automatically, each run is checked, and you can open the files without us.

  • A current copy of your product data in storage you own
  • Open formats your team can read without special tools
  • Scheduled runs with rotation and completeness checks

What it is

Offline Export and Backup is an add-on that adds scheduled export and backup of an existing Upmark Labs product's data. Records, settings and logs are copied on a timetable you choose to storage in your own account, in readable formats. Old copies rotate automatically, and each run is checked for completeness.

Why businesses buy it

Data loss rarely comes from one big disaster. It comes from a deleted record, a vendor outage or an account change that nobody noticed until a customer asked. Without your own copy, recovering means waiting on someone else. This add-on gives you a regular, readable backup in an account you control, so audits, migrations and bad days are easier to handle. The Scope Card lists what is copied, how often and where, so you know your cover before you order.

Problems this solves

Your product's data exists in one place with no copy you control

Offline Export and Backup copies records, settings and logs on a timetable you choose. Copies go to storage in your own account, in readable formats.

Backups are taken once and then forgotten

Exports run on the timetable you chose, and old copies rotate out automatically. Nobody has to remember to start a backup or tidy up old files by hand.

A backup is useless if nobody checks it worked

Each backup run is checked for completeness after it finishes. The test report shows how those checks work, so you know the copies hold what they should.

A good fit if

Your product holds records you could not easily recreate, such as conversations, decisions or generated work.
Your policies require backups held outside the system that created the data.
You want to analyze or archive the product's data in other tools.
You run an Upmark Labs product, or are ordering one together with this.

Not the right fit if

You want records kept in step with a spreadsheet in both directions. Google Sheets Sync does that.
You want data deleted after a set period, not kept. Data Retention and Deletion Configuration sets that up.
You want a separate copy of the product to test changes. Staging Environment Setup provides one.
You want a record of who changed what. The Audit Logging Add-on adds that.

How it works

  1. Data is listed. We agree what to back up: records, conversation history, settings, logs or generated files.
  2. A schedule and format are set. Daily, weekly or another timetable, in formats such as CSV or JSON you can open elsewhere.
  3. Exports run to your storage. Each backup lands in a storage account in your name, labeled by date.
  4. Old backups are rotated. How many copies to keep is agreed, so storage does not grow without limit.
  5. A test restore check confirms the backup is complete, then you review with one revision round and a written walkthrough.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • The order reference of the product to back up
  • Which data matters most, and how often it changes
  • A storage account in your name for the backups, shared securely as agreed at intake
  • How many past backups to keep, and any retention rules that apply
  • One person who approves the backup plan
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

What you receive at handover

  • Scheduled export and backup of your product's records, settings and logs
  • Copies stored in your own account, in readable formats
  • Automatic rotation of old copies and completeness checks on each run
  • Updated documentation, a test report, a handoff note and a written walkthrough

Expected benefits and how to measure them

  • Helps you keep a copy of your data under your control
  • Can make recovery easier after a mistake
  • Makes data available for other uses in readable formats
Successful backup runs
Check each run's completeness result in the logs every month.
Restore test
Each quarter, open a recent copy and confirm a sample of records is there.
Gaps in coverage
Compare what is backed up with the product's data types and note anything missing.

Before you start: Note what copies of the product's data you hold today and when the last one was taken.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

Backups are stored in your own storage account, which bills by the amount kept. With a sensible rotation, most products need little space. The export job itself adds very little usage.

Custom requirements

Automatic restore into a fresh copy of the product, backups of systems outside the product, or encryption with keys you manage yourself go beyond this add-on. Add a checkout note for a written Change Quote.

Keep it running

If the product starts storing new data, the backup scope should follow. Adjusting it fits within the parent product's maintenance, which grows in line with the add-on's price.

Covered by the main product's maintenance, which grows by this amount.

Questions about this product

What data does Offline Export and Backup copy?

The data agreed at intake, from what the product holds: records, conversation or run history, settings, logs and generated files. You decide what matters. Some teams back up everything; others only the records they could not recreate. The documentation lists exactly what each backup contains.

Where are the backups stored?

In a storage account in your name, separate from the product itself. You control access and can open the files with ordinary tools. Because the storage is yours, the backups stay available even if you stop using the product or its maintenance.

Can the backup restore the product automatically?

No. This add-on exports and keeps the data; it does not rebuild the product from a backup. The completeness check confirms the data is all there and readable. If you need an automatic restore process, ask for a Change Quote at checkout.

How often do backups run?

On the schedule you choose: daily, weekly or another regular interval. Busy products with valuable records usually suit daily backups. Quieter ones may only need weekly. We agree the schedule, the formats and how many old backups to keep during intake.

Can I check that a backup is actually complete?

Yes. Each run compares what was exported with what the product holds and records the result, so a short or failed export is flagged rather than missed. During setup we also walk your team through opening a backup file, so you know the data is readable before you ever need it.

Does keeping backups conflict with deletion rules?

It can, if not planned. If personal data must be deleted after a set period, backups need the same rule, or deleted data survives in old copies. We ask about your retention rules at intake and set the backup rotation to match them.

Keep a copy of your data where you control it.

Add Offline Export and Backup and your product's chosen data is exported on schedule to your own storage, in open formats, with old copies rotated for you.
