Knowledge Base Expansion

Your agent answers from more of your material, with the new sources added and indexed so it can find them.

Your agent can only answer from what it has been given, so every policy, product sheet or help article left out becomes a question it cannot handle. This add-on adds and indexes more of your approved material for the agent you already run. New sources are checked against existing ones, so conflicting answers are settled before customers see them.

  • Answers questions the original sources did not cover
  • Flags conflicting documents for you to settle first
  • Uses only material you have approved

New cloth-bound volumes added to a shelf row, more approved material for an agent to answer from.

What it is

Knowledge Base Expansion adds and indexes more knowledge sources for an agent you already run, or are buying now, such as extra documents, help articles, policies or product sheets. The agent can then answer questions its original sources did not cover. Conflicts with existing sources are flagged first.

Why businesses buy it

Every time your agent says it does not know something you have already written down, a customer waits for a person and a member of staff answers by hand. As your business adds products, policies and services, the gap grows. Expanding the knowledge base closes it without rebuilding the agent. The written scope covers adding and indexing your sources, a conflict check against what is already there, and tests on questions only the new material can answer. Writing new content is not part of it.

Problems this solves

Customers ask questions the agent's current sources do not cover

This add-on adds and indexes more knowledge sources, such as extra documents, help articles, policies or product sheets. The agent can then answer topics its original sources missed.

New products or policies launch and the agent falls behind

The new material you provide is indexed alongside the existing sources. The agent is tested with the parent product, and the test report shows sample questions it can now answer.

A new document quietly contradicts an older one already loaded

Conflicts between the new sources and existing ones are flagged before indexing. You decide which version stands, so the agent does not give two different answers to one question.

A good fit if

Customers or staff ask questions the agent cannot answer because the source was never added.
You have new material since launch: a new service line, updated policies or a product range.
Your original Scope Card limited the number of sources, and you have more to add.
The extra material already exists and is approved; it just is not in the agent yet.

Not the right fit if

Your documents are scattered and need structuring into a maintained knowledge base first. AI Knowledge Base Builder does that.
You do not know which questions your documents fail to answer. AI Knowledge Gap Finder finds them.
Your FAQs and flows sit in another bot you want to replace. Data Migration from Existing Bot moves them across.
Your product is a workflow automation with no knowledge sources. This add-on applies only to products that answer from sources.

How it works

  1. You gather the extra sources. Documents, help center articles, policies or pages you have already approved.
  2. We check them. Duplicates, outdated versions and conflicts with existing sources are flagged for you to settle.
  3. The sources are added and indexed, so the agent can find the right passage when a question comes in.
  4. Answers are tested with the parent product, using questions that only the new material can answer.
  5. You review the answers, one revision round follows, and documentation and a handoff note are updated.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • The order reference of the agent being expanded
  • The extra documents, articles or pages, in their approved versions
  • Which older sources they replace, if any
  • Access to any system the sources live in, shared securely in the way we agree at intake
  • A list of questions the new material should answer
  • One person who settles conflicts between sources
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

What you receive at handover

  • Additional knowledge sources indexed into your existing agent
  • A list of conflicts found between new and existing sources, with your decisions
  • Updated documentation listing every source the agent now uses
  • A test report, a handoff note and a short written walkthrough

Expected benefits and how to measure them

  • Can reduce the number of questions the agent cannot answer
  • Helps keep answers consistent when sources overlap
  • Can lower the number of simple questions that reach your team
Unanswered questions
Count conversations where the agent could not answer in the four weeks before and after the expansion.
Escalations on covered topics
Tag escalations about the newly added topics and compare volumes before and after launch.
Answer accuracy on new topics
Review a sample of answers about the new material each month and mark each one right or wrong.

Before you start: Pull a list of recent questions the agent failed to answer. Note how many relate to the material you plan to add.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

Indexing new sources and answering from a larger knowledge base can add some AI model and hosting usage, billed to your own accounts. We charge once for the expansion, with no per-document fee.

Custom requirements

Writing new articles, cleaning up a large unstructured archive, or connecting a new live content system are beyond this add-on. Note them at checkout for a written Change Quote. Larger or bespoke projects go through the Custom AI request form instead.

Request a custom version

Keep it running

Once added, the new sources are covered by the parent product's maintenance, which grows in line with the add-on's price. Replacing a document with a newer version uses its monthly change hours.

Adds $75/mo to maintenance

Covered by the main product's maintenance, which grows by this amount.

Questions about this product

How many extra sources can Knowledge Base Expansion add?

It adds the extra sources agreed at intake, sized as one add-on's worth of work. If you are bringing a very large archive, tell us at checkout so we can say whether it fits one add-on or needs a Change Quote. Either way, you know the price before anything starts.

What happens when a new document disagrees with an old one?

We flag it before indexing. You decide which version is right, or whether the old source should be removed. The agent is not left to choose between two answers, because that is how out-of-date information reaches customers. Conflicts settled during intake are tested afterwards.

Will you write the missing articles for us?

No. The add-on adds and indexes material you already have and approve. Writing new content is outside its scope. If you are not sure what is missing, AI Knowledge Gap Finder identifies the questions your documentation cannot answer yet, and you can fill those gaps yourself.

How quickly can new knowledge sources be added?

The expansion follows the delivery speed chosen for the agent it extends, and faster speeds are available, each with a fixed price and date shown before you pay. The biggest factor on your side is getting the final, approved versions of each document to us during intake, so we index the right material the first time.

Do the new sources work on every channel the agent uses?

Yes. The knowledge sits behind the agent, not behind one channel, so once indexed the new material is used on chat, phone, WhatsApp, email or any other channel the agent runs on. The tests use the agent's main channel. If one channel needs a source the others should not use, say so at intake.

Can my team update the new documents after launch?

Yes. Swapping a source for a newer version is handled through the parent product's maintenance, using its monthly change hours. Adding a large new batch of material later is another expansion or a Change Quote. Send the new version, say which file it replaces, and the old one is removed so the two never conflict.

Stop hearing your agent say it does not know something you have written down.

Add Knowledge Base Expansion and your agent answers from more of your approved material, with conflicts settled and new answers tested.
