Call Recording Archive and Search

Every call your voice agent takes is stored with a searchable transcript, and kept only as long as your rules allow.

When a customer disputes what was said, or you need to check a call for training, finding the right recording should take seconds. This add-on stores every call your voice agent takes with a searchable transcript. Your team can find a call by word, date or caller and listen back from the match. Recordings are kept only as long as your rules allow.

  • Finds any call by word, date or caller
  • Plays back from the exact point of the match
  • Deletes recordings on the schedule you set

What it is

Call Recording Archive and Search is an add-on that stores the recordings of an Upmark Labs voice agent's calls with searchable transcripts, under the retention rules you set. Your team can find a call by word, date or caller, then listen back. It fits voice agents only.

Why businesses buy it

Recordings that cannot be found are almost as useless as no recordings at all. Disputes take longer, training examples stay hidden and compliance requests turn into slow manual searches. A searchable archive turns every call into something your team can actually use, and retention rules stop you holding recordings longer than you should. The written scope covers storage, transcript search, retention rules and testing with the parent product, so the archive works from the first call.

Problems this solves

Finding one past call means scrolling through hours of audio

Call Recording Archive and Search stores each voice agent call with a searchable transcript. Your team can find a call by word, date or caller, then listen back.

Disputes about what was said on a call are hard to settle

Each recording and its transcript are kept together in one archive. Staff can check exactly what the caller and the agent said, rather than relying on anyone's memory.

Recordings are kept forever with no clear rules

Recordings are stored under the retention rules you set. Old calls are handled according to those rules, and the documentation records them for your team.

A good fit if

Staff regularly need to check what was said on a past call, and recordings are scattered or missing.
Disputes, complaints or quality checks depend on finding the right call quickly.
You have a retention period for recordings, from your own policy or your regulator.
Your voice agent is an Upmark Labs build, or this is ordered with one.

Not the right fit if

You want each call summarized into notes and next steps in your CRM. AI Call Summarization does that.
You want calls scored against a quality checklist. AI Call QA handles scoring.
You need retention and deletion set across the whole product, not just recordings. Data Retention and Deletion Configuration covers it.
Your agent works in text, not on calls. This add-on applies to voice agents only.

How it works

  1. Retention rules are agreed. How long recordings and transcripts are kept, who may access them, and how they are deleted at the end.
  2. Storage is set up. Recordings from the voice agent are saved to storage in your own account, alongside their transcripts.
  3. Search is built. Your team can search transcripts by word or phrase and filter by date, caller number or call outcome.
  4. Playback is linked. Each search result opens the recording at the matching point in the call.
  5. Test calls confirm storage, search and deletion, followed by your review, one revision round and a written walkthrough.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • The order reference of the voice agent
  • Your retention period for recordings and transcripts, and how deletion should work
  • Who on your team may search and listen, by role
  • A storage account in your name, with access shared securely as agreed at intake
  • Your call-recording disclosure wording, and one approver

What you receive at handover

  • A searchable archive of your voice agent's call recordings and transcripts
  • Search by word, date or caller
  • Retention rules you set for stored recordings
  • Updated documentation, a test report, a handoff note and a written walkthrough

Expected benefits and how to measure them

  • Can save time when looking up a past call
  • Helps settle questions about what was said
  • Makes it easier to keep recordings in line with your rules
Time to find a call
Time a few lookups before launch and the same kind of lookups after.
Calls reviewed
Count how many calls staff review each month, as a sign the archive is in use.
Retention compliance
Each quarter, check a sample of stored calls against your retention rules.

Before you start: Note how your team finds past calls today and how long it takes. Record how long recordings are currently kept.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

Storage and transcription are billed to your own accounts. Audio storage grows with call volume and your retention period, so a short retention period keeps it small. Your voice platform may also charge for recording.

Custom requirements

Importing recordings from an old phone system, or searching calls from several voice agents in one place, falls outside this add-on. Note it at checkout for a written Change Quote. Larger or bespoke projects go through the Custom AI request form instead.

Keep it running

Changing the retention period or who can access recordings is covered by the change hours in the parent product's maintenance, which grows in line with the add-on's price.

Adds $75/mo to maintenance

Covered by the main product's maintenance, which grows by this amount.

Questions about this product

Where are call recordings stored?

In a storage account in your name, not ours. You keep ownership of every recording and transcript, and access is limited to the roles you choose. Because the storage is yours, you can also see and control the bill for it directly with the provider.

Can I search for a word a caller said?

Yes. Search runs across the transcripts, so a word or phrase such as a product name or a complaint finds every call that contains it. You can narrow results by date, caller number or call outcome, and each result opens the recording at the right moment.

How are old recordings deleted?

Automatically, at the end of the retention period you set. Recordings and their transcripts are removed together, and the deletion is tested before launch with test calls. If your period changes later, the new rule applies through the parent product's maintenance.

Do callers need to be told they are recorded?

Yes, in most places. The voice agent plays your disclosure at the start of each call, in your wording. The rules on recording consent differ by country and state, so check your wording with your own adviser. We add it exactly as you approve it.

Can the archive be added to a voice agent already in service?

Yes. From the day it goes live, every new call is stored with a searchable transcript under your retention rules. Importing older recordings from another phone system is outside this add-on. If you are buying the voice agent now, the archive follows its delivery speed, with a fixed price and date shown before you pay.

Are calls from before the add-on included?

No. The archive stores calls from the day it goes live. Recordings already held by your voice platform or an older phone system are not imported as part of this add-on. If you want them brought in, ask for a Change Quote at checkout.

Find any call in seconds, keep none longer than you should.

Add Call Recording Archive and Search and your voice agent's calls are stored with searchable transcripts, deleted on the schedule you choose.
