AI and Automation Opportunity Audit

A ranked list of where AI and automation could save your team time, with a fixed price and a 90-day plan.

There are too many AI tools and too little time to test them. The AI and Automation Opportunity Audit starts with your work instead. We map up to five processes from two written questionnaires and score ten opportunities on hours saved, feasibility, data readiness and risk. Each one is matched to a fixed-price product or marked do not automate. You finish with a roadmap.

  • Ten opportunities ranked by hours saved, feasibility and risk
  • Each matched to a fixed-price product or marked do not automate
  • A 90-day roadmap, with the fee credited against an order

What it is

AI and Automation Opportunity Audit is a fixed-scope review of how your team works today. We send two written questionnaires, map up to five processes and rank ten AI and automation opportunities. You get a 90-day roadmap and a data and access red-flag checklist. These are recommendations only; nothing is built.

Why businesses buy it

Most businesses know AI could help somewhere but cannot say where to start. Buying the wrong build first wastes money and goodwill inside the team. This audit looks at your real processes, volumes and tools before suggesting anything. Each opportunity gets an estimate of hours saved, a feasibility score, a data readiness score and a risk score. Some are marked do not automate, which can matter as much as the ones worth doing. You keep every map and score. If you order a matched product within 30 days of the read-out, the audit fee is credited.

Problems this solves

You want to use AI but do not know where to start

Two written questionnaires and process maps for up to five processes show where time goes today. Ten opportunities are ranked, so you know which to look at first.

You worry about paying for the wrong AI build

Each opportunity is scored on hours saved, feasibility, data readiness and risk. It is matched to a fixed-price product or marked do not automate before you spend more.

Data and compliance risks surface only after a build starts

A data, access, GDPR and AI Act red-flag checklist lists the points to resolve before any build starts. It helps you prepare and is not legal advice.

Ideas never turn into a plan the team can follow

A three-phase, 90-day roadmap puts the opportunities you choose to pursue in a sensible order. A written read-out explains the plan and the reasons behind it, so the whole team can follow it.

A good fit if

You have between ten and two hundred staff and want to use AI, but do not know where to start.
Your team repeats manual tasks across email, spreadsheets and several business tools.
You want estimates of hours saved and risk before you buy any build.
One decision-maker can answer both questionnaires and approve the results.

Not the right fit if

You already know the workflow you want automated. See AI Multi-Step Workflow Automation.
Your team has AI assistant seats and needs them set up and trained. See Team AI Assistant Rollout.
You need a review of AI systems against the EU AI Act. See EU AI Act Readiness Assessment.
You want one AI use case built and tested on your data. See AI Proof-of-Concept Sprint.

How it works

  1. You complete an intake questionnaire, list the tools you use and give rough monthly volumes for each process.
  2. In the first written questionnaire, you describe how work flows today across up to two departments. Follow-up questions come by email.
  3. We map up to five processes and score each opportunity on hours saved, feasibility, data readiness and risk.
  4. In the second written questionnaire, you check the estimates and scores before anything is final.
  5. We match each opportunity to an Upmark product or mark it do not automate, then build a three-phase roadmap.
  6. A written read-out takes you through the ranked list, roadmap and red-flag checklist.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • One decision-maker who answers both questionnaires and approves the results.
  • A list of the tools your team uses today.
  • Rough monthly volumes for each process, such as orders, invoices or tickets.
  • Viewer access by invite to any process documents you already have.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

What you receive at handover

  • Your answers to both questionnaires and the intake tool inventory
  • Process maps for up to five processes
  • A ranked list of ten opportunities, each matched to a product or marked do not automate (recommendations; builds are not included)
  • A 90-day roadmap in three phases
  • A data, access, GDPR and AI Act red-flag checklist (helps you prepare; not legal advice)
  • A written read-out and a follow-up period for questions

Expected benefits and how to measure them

  • Helps you choose AI projects using your own volumes and risks
  • Can stop spending on automations that would not pay back
  • Gives your team a shared, written plan for the next quarter
Hours spent on mapped processes
Use the hours in the process maps as the starting point, then re-time the same steps after any build.
Opportunities acted on
Count roadmap items started or completed at the end of each roadmap phase.
Manual errors or rework
Count corrections or rework in each mapped process, from your own logs, before and after changes.

Before you start: Before the first questionnaire, note roughly how many hours each week your team spends on the processes you plan to review. Record known error or rework counts.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

There are no running costs. The audit is paid once and needs no new tools from you. Each matched product page lists its own running costs, such as model usage or platform plans. You can compare them before ordering.

Custom requirements

Add a note at checkout if you need something specific. If it fits within the Scope Card it is simply included. If it goes beyond it, you get a written Change Quote within two working days, and that work starts only once you accept it, with its time added to your delivery date.

Keep it running

There is nothing to keep running after the audit. The process maps, ranked list, roadmap and checklist are yours. Follow-up questions are answered during the support period. Matched products are ordered separately. The audit fee is credited against an order placed within 30 days.

Questions about this product

Is the AI and Automation Opportunity Audit fee credited against a build?

Yes. If you order any Upmark product within 30 days of the read-out call, the audit fee is credited against that order. If you decide to build with another team, or not at all, you keep the process maps, ranked list, roadmap and checklist. Nothing in the audit ties you to working with us.

Does the automation audit build or configure anything?

No. The audit produces recommendations only; fixes and builds are not included. We list and review your tools but do not connect them. Each opportunity worth doing is matched to an Upmark product with a fixed price. You order the build separately when ready.

How are hours saved and risk estimated in the audit?

From your own volumes and how long each step takes today. You give rough monthly volumes, and the questionnaires show how much time each step uses. We estimate hours saved per month and score feasibility, data readiness and risk. You check every estimate before the read-out, so the numbers reflect your view too.

Why would the audit mark something as do not automate?

Because some processes cost more to automate than they save, rely on poor data or carry too much risk. Examples include rare tasks, decisions that need careful human judgment and processes that change every month. Knowing what to leave alone stops you spending money on builds that will not pay back.

Does the audit cover the EU AI Act or GDPR?

Partly. The red-flag checklist highlights data, access, GDPR and AI Act points to raise before you build. It helps you prepare and is not legal advice. For a full EU AI Act review of the AI systems you use, see the EU AI Act Readiness Assessment.

Who should answer the opportunity audit questionnaires?

One decision-maker must answer both questionnaires, because the roadmap depends on their priorities. It helps to ask the people who do the work in each process, such as an operations lead or office manager, to add their answers. The audit covers up to two departments, so pick the teams where manual work hurts most.

What if we have more than five processes to review?

Choose the five that matter most for this audit. They are usually the ones with the most volume or the most frustration. If you need more processes or a third department reviewed, add a note at checkout. We send a written Change Quote.
