Additional Calendar Integration

Your AI product reads availability and books into one more calendar system, so every team's diary stays correct.

When bookings land in one calendar but some of your staff live in another, double bookings and missed appointments follow. This add-on connects the AI product you already run to one more calendar system, such as Google Calendar, Outlook Calendar, Calendly or Cal.com. It reads availability and books under the rules you already set, using access in your own account.

  • Books into one more calendar system your staff use
  • Applies the booking rules your product already follows
  • Tested by booking, moving and cancelling test appointments
$1,500 10–20 working days
Two calendar pads overlapping with one shared mark, bookings kept right across a second calendar.

What it is

The Additional Calendar Integration connects an AI product you already run, or are buying now, to one more calendar system, such as Google Calendar, Outlook Calendar, Calendly or Cal.com. The product reads availability and creates or updates events there under the rules you set. Test appointments are booked, moved and cancelled before launch.

Why businesses buy it

A booking in the wrong diary is worse than no booking at all. The customer turns up and nobody is ready. Teams that split across Google and Outlook, or a booking tool and a staff calendar, often fix this by hand every day. Connecting your AI product to the second calendar keeps every diary correct automatically. The written scope covers availability, event creation and updates, your booking rules and real test bookings, so you know exactly how it will behave before it goes live.

Problems this solves

Bookings land in one calendar while staff work from another

This add-on connects your existing product to one more calendar system, such as Outlook, Google Calendar, Calendly or Cal.com. The product reads availability there and creates or updates events under the rules you set.

Double bookings happen when the product cannot see a second calendar

Once connected, the product checks free time in the added calendar before it offers a slot. Test appointments are booked, moved and cancelled before launch, so you can see clashes are handled.

Staff copy appointments between calendars by hand and make mistakes

Events the product creates or changes appear directly in the connected calendar. Your team stops re-keying details, and the updated documentation explains which rules decide what gets written there.

A good fit if

Your product books into one calendar, but some staff keep their diaries in another system.
You are moving from one calendar or scheduling tool to another.
Double bookings happen because one diary is invisible to the product.
An admin can grant calendar access in your account.

Not the right fit if

You want calls answered and appointments booked by phone. AI Voice Booking Agent is built for that.
You want interested sales replies turned into meetings. AI Meeting Booking Agent does that.
You run bookings for several branches. Multi-Location Setup configures one product for several locations.
The scheduling tool is in-house with its own documented API. Custom API or Webhook Integration fits it.

How it works

  1. You choose the calendar. One more per add-on, such as Google Calendar, Outlook Calendar, Calendly or Cal.com.
  2. Booking rules are carried over. Slot length, notice period and buffers match what the product already follows, or what you set for the new calendar.
  3. Access is granted. Google OAuth with calendar scope, a Microsoft Graph calendar permission, or an API token from Calendly or Cal.com.
  4. Bookings are tested. We book, move and cancel test appointments through the parent product.
  5. You review the results, ask for changes in one revision round, and receive the handoff note and walkthrough.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • The order reference of the product being connected
  • Which calendar system, and whose calendars it should use
  • Calendar access, shared securely in the way we agree at intake, never by email
  • Your booking rules: slot length, notice, buffers and working hours
  • One person who approves the test bookings
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

What you receive at handover

  • Your existing product connected to one more calendar system, working in your own calendar account
  • Updated product documentation covering the new calendar and its booking rules
  • A test report showing test appointments booked, moved and cancelled
  • A handoff note and a short written walkthrough

Expected benefits and how to measure them

  • Can cut the time staff spend copying appointments between calendars
  • Helps prevent double bookings by checking availability in one more place
  • Makes it easier for people on different calendar tools to stay in step
Double bookings
Count clashes staff report in the four weeks before launch and the four weeks after.
Manual calendar entries
Ask staff to tally appointments they copy by hand for one week before go-live and one week after.
Sync mismatches
Each week, compare events the product created with the connected calendar and note any missing or wrong entries.

Before you start: Before work starts, note how many appointments staff copy by hand each week. Also record how many double bookings happened last month.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

Calendar and scheduling subscriptions are paid to their vendors as now. AI model usage remains in your own accounts. The integration has a one-time price and no per-booking fee from us.

Custom requirements

Round-robin between many staff, paid bookings, or resource booking such as rooms and equipment are beyond this add-on. Add a note at checkout for a written Change Quote. Larger or bespoke projects go through the Custom AI request form instead.

Keep it running

The calendar connection is maintained under the parent product's maintenance, which grows in line with this add-on's price. New staff calendars, changed hours or holiday rules come out of its monthly change hours. That suits teams with shifts or seasonal hours that change often.

Adds $75/mo to maintenance

Covered by the main product's maintenance, which grows by this amount.

Questions about this product

Which calendars can the integration add?

Google Calendar, Outlook Calendar, Calendly and Cal.com are the usual choices. Each needs its own access: Google OAuth with calendar scope, a Microsoft Graph calendar permission, a Calendly personal access token or a Cal.com API key. Your admin grants it during intake.

Will the product check both calendars before booking?

Yes, if you want it to. During intake you decide whether the product should treat both calendars as one person's availability, or book different staff in different systems. The test bookings check that it never offers a slot that is busy in either calendar.

Can it book for several staff members?

Yes, within the booking rules the parent product already follows, such as which staff member handles which appointment type. Complex rotation across many staff, or booking rooms and equipment, is outside this add-on and goes through a Change Quote. Tell us at intake who books what, and the tests cover each person.

Does the calendar connection launch with the product it extends?

Yes. Both are tested together and go live on the same day, so the calendar always follows the product's delivery speed. If you need it sooner, choose Express or Rush for the product, each with a fixed price and date shown before you pay. Shared calendar access during intake keeps the date on track.

What happens to bookings made before the switch?

They stay where they are. The add-on connects the product to the new calendar going forward and does not move past events. If you need existing bookings copied, describe it in the custom requirements note at checkout for a written quote.

Do staff need to change how they use their calendar?

No. Staff keep using their calendar as they do now. The product reads their free and busy time and adds events that follow your rules, so the only change they see is new bookings appearing in their diary. Anyone who blocks out personal time keeps doing so, and the product respects it.

Book into the diary your staff actually check.

Add the Additional Calendar Integration and your product reads availability and books into one more calendar system, using the booking rules you already trust.
