Cold Email Infrastructure Setup

Separate, authenticated sending domains and warmed-up mailboxes, so your outreach can reach inboxes without putting your main domain at risk.

Cold outreach often fails before anyone reads it, because new domains and mailboxes land in spam. Sending from your main domain puts its reputation at risk too. Cold Email Infrastructure Setup builds separate sending domains and mailboxes in your own accounts. We authenticate every domain, connect your sending tool, switch on warm-up and test inbox placement before you send.

  • Up to 3 domains and 9 mailboxes in your accounts
  • SPF, DKIM, DMARC and warm-up set up for you
  • Inbox-placement and blacklist checks before handover

What it is

Cold Email Infrastructure Setup is a one-time service that builds the sending side of your outreach. We set up to 3 separate domains and 9 mailboxes in your own accounts. We add SPF, DKIM and DMARC, connect one sending tool, start warm-up and test inbox placement.

Why businesses buy it

Many outreach projects look like they do not work, when the real problem is the sending setup. Missing DNS records, cold mailboxes and no warm-up send messages to spam. Fixing that yourself means hours of provider guides and trial and error. This service does the setup once, properly, in accounts you own. Your main domain stays out of it, so staff and customer email are protected. You get tested mailboxes, a sending-limit plan and a checklist for opt-outs. Results still depend on your list, your copy and how you send.

Problems this solves

Outreach from the main domain risks your everyday business email

We register up to 3 separate sending domains in your registrar account. Each one redirects to your website, so outreach runs away from the domain your staff and customers use.

New mailboxes land in spam because nothing was authenticated

Every domain gets SPF, DKIM and DMARC records, with a DMARC monitoring address and a custom tracking domain. Mailbox providers can then check that your messages are genuine.

Teams send too much too soon and burn new mailboxes

Warm-up is switched on in your sending tool, and a sending-limit plan sets a careful ramp. It caps each mailbox at no more than 30 emails a day.

Nobody checks whether mailboxes work before campaigns start

We run an inbox-placement seed test and a blacklist check on every mailbox before handover. Anything that fails is fixed while we still have access.

A good fit if

You are starting cold outreach and do not want to send it from the domain your customers and staff rely on.
Your current outreach lands in spam, and you suspect the domains or mailboxes were never set up properly.
You already use, or plan to use, Instantly, Smartlead, lemlist, Apollo or HubSpot sequences to send.
You can give us admin access to your domain registrar or DNS and to Google Workspace or Microsoft 365.

Not the right fit if

You want AI to research prospects, write emails and book meetings for you. See AI SDR Agent.
You need personalized first lines and messages written at scale, not the sending setup. See AI Cold Email Personalization.
You want multi-step sequences built and run across channels. See AI Outreach Sequencer.
You want the domains, the AI outreach build and the launch handled as one package. See AI Outbound Launch Stack.

How it works

  1. You share admin access to your registrar or DNS, your mailbox provider and your sending tool. You also approve the domain and mailbox names.
  2. We register up to 3 sending domains in your registrar account. Then we create up to 9 mailboxes on Google Workspace or Microsoft 365.
  3. Every domain gets SPF, DKIM and DMARC records, a DMARC monitoring address, a custom tracking domain and a redirect to your website.
  4. We connect each mailbox to your sending tool, switch on warm-up and set a sending-limit plan for the ramp-up weeks.
  5. We run an inbox-placement seed test and a blacklist check on every mailbox, then fix anything that fails.
  6. You get a written handover document and an opt-out and compliance checklist, followed by post-launch support.

What you provide within 72 hours

Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.

  • Admin access to Google Workspace or Microsoft 365, by invite.
  • Access to your sending tool account, by invite or a key you control.
  • Your main website address, so each sending domain can redirect to it.
  • One person who approves the domain and mailbox names.
The 72-hour rule. Send everything on your checklist, including access, within 72 hours of ordering so your build starts on time.

  • SPF, DKIM and DMARC records, a DMARC monitoring address and 1 custom tracking domain

Expected benefits and how to measure them

  • Helps outreach reach inboxes instead of spam folders
  • Keeps your main domain's reputation away from cold sending
  • Can make outreach results easier to read, because setup is ruled out
Inbox placement
Compare the seed test results at handover with a repeat seed test in your sending tool a month later.
Bounce and spam complaint rates
Read these from your sending tool's campaign reports and compare them with your last campaigns before the setup.
DMARC pass rate
Check the DMARC reports sent to the monitoring address each week and track the share of messages that pass.

Before you start: Before work starts, note your recent open, bounce and reply rates and whether outreach was sent from your main domain.

These are things to track, not promised results. Outcomes depend on your data, your team and your market.

Running costs

The setup itself has no ongoing fee from us. You pay the providers directly for domain renewals, monthly mailbox licenses and your sending tool plan. Any separate warm-up tool you choose is also yours to pay. Warm-up then runs for two to three weeks on your tool before full sending.

Custom requirements

Add a note at checkout if you need something specific. If it fits within the Scope Card it is simply included. If it goes beyond it, you get a written Change Quote within two working days, and that work starts only once you accept it, with its time added to your delivery date.

Keep it running

This is a one-time setup, so there is no maintenance plan. The domains, mailboxes and settings live in your accounts and keep working as long as you renew them. Stick to the sending-limit plan and keep an eye on the DMARC reports. If you later want AI to write and send the outreach, AI SDR Agent and AI Outreach Sequencer build on this setup.

How this compares

Do it yourselfHire a traditional agencyUpmark Labs
Setup You work through DNS records, mailbox settings and warm-up guides yourself Often bundled into a larger outreach retainer A fixed scope of 3 domains and 9 mailboxes, set up and tested
Ownership Yours, if you set it up in your own accounts Domains and mailboxes sometimes sit in the agency's accounts Everything is created in accounts you own and control
Testing Easy to skip until replies stop coming Varies by provider Inbox-placement and blacklist checks on every mailbox before handover
Main domain Tempting to send from it to save time Depends on the approach Kept separate, so outreach does not touch its reputation

Questions about this product

Why should cold email go out from separate sending domains?

Because spam complaints and bounces hurt the domain they come from. If outreach goes from your main domain, invoices, support replies and staff email can start landing in spam too. Separate sending domains keep that risk away from the domain your business depends on. Each one redirects to your website, so prospects who check it still find you.

When can we start sending full volume after the setup?

Usually after two to three weeks of warm-up. We switch warm-up on during the setup, and it then runs on your sending tool while the mailboxes build a sending history. The sending-limit plan shows how to ramp up, with no more than 30 emails per mailbox per day. Going faster than that raises the chance of landing in spam.

Will this setup make sure our emails reach the inbox?

No. Nobody can promise inbox placement, replies or meetings, because mailbox providers decide what to filter. What the setup does is remove the common technical reasons outreach lands in spam. Every domain is authenticated and every mailbox is tested before handover. Your list quality, your copy and how fast you send still make a big difference.

Which sending tools and mailbox providers do you set up?

One sending tool from Instantly, Smartlead, lemlist, Apollo or HubSpot sequences, with mailboxes on Google Workspace or Microsoft 365. We work in your registrar or DNS host, such as Cloudflare, GoDaddy or Namecheap. A second sending tool is not included. Add a note at checkout and we will quote one through a Change Quote.

What does the cold email compliance checklist cover?

It covers the basics of CAN-SPAM in the US and GDPR and PECR in the UK and EU. That includes opt-out handling, sender identification and the questions to check before you email a contact. It helps you prepare and is not legal advice. For your own situation, especially when emailing people in Europe, check with a qualified adviser.

Can you repair our main domain if it is already blacklisted?

No, that is outside this setup. Repairing a blacklisted main domain is separate work with its own steps and timing. We can keep new outreach away from it with fresh sending domains, which gives your main domain a chance to recover. If you need help with the repair, add a note at checkout for a Change Quote.

What happens after the sending setup is handed over?

You keep everything, and you get 14 days of post-launch support. The domains, mailboxes, DNS records and tool connections all sit in your accounts. During support you can ask about warm-up progress, test results or the sending-limit plan. After that, you renew the domains and licenses with the providers, and you can remove our access at any time.
