Which processes to automate first: a simple scoring method
Score each process on hours, clarity, data readiness and risk, check payback, then automate the top one or two. Worked example and pass/fail test.
Zoho Books bills routed for sign-off and scheduled by due date, in runs a person approves first.
Supplier bills go into Zoho Books, but approval happens somewhere else, if at all. Due dates slip until a supplier calls to ask where their money is. This agent takes each bill from arrival to a payment run: it applies your approval rules, orders approved bills by due date, and records payments once a person releases them. Your contacts and data stay in Zoho Books.

AI Accounts Payable Agent for Zoho Books handles payables in your Zoho Books organization, from the moment a supplier invoice arrives to a payment run ready for release. It reads and updates bills, contacts and payments, applies your approval rules, and orders approved bills by due date. A person approves every run. Due dates are never a surprise again.
Late supplier payments damage relationships, and early ones drain cash you needed elsewhere. When nobody sees which approved bills fall due this week, both happen. After this build, every Zoho Books bill moves through the same approval path and lands in a run ordered by due date, so you pay on time and not before. Your team stops chasing signatures. The Scope Card documents the workflows, field mapping and approval rules before you order, so you know exactly how bills will flow.
Approved bills are ordered by due date, so the next payment run puts the most urgent first. Your team sees what is due well before it becomes overdue.

Before you start: Run the payables aging report in Zoho Books and note how many bills were paid late last month.
These are things to track, not promised results. Outcomes depend on your data, your team and your market.
You pay for the build once. Running it adds roughly $50 to $250 a month for AI model usage and hosting, paid in your own accounts. Zoho Books stays on your current plan, as licenses and upgrades are not included.
AI usage during the build and testing is billed to you directly. The agent supports your payables process and does not give regulated financial, tax or investment advice.

Invoices, bills, contacts and payments. For payables, the work centers on bills, the supplier contacts behind them, and the payments recorded once a run is released. Your admin approves the written mapping, which lists exactly which fields are read and written. Custom Zoho Books objects sit outside this build.
It takes bills that are approved, unpaid and due within the window your pay cycle sets, for example the coming week. Anything disputed, duplicated or still awaiting approval stays out. Your approver sees the proposed run and can release it, edit it or hold it back.
Yes, if that tool is the one additional system on the Scope Card. The invoice is compared with the purchase order or delivery record there before approval. A mismatch, such as a higher price or a missing delivery, sends the bill to your exceptions queue instead of to an approver.
A Zoho Books admin who can set up an OAuth client, your approval rules and approvers, your pay cycle, and a set of recent supplier bills for testing. These are due within 72 hours of ordering so the timeline holds. Your admin approves the written field mapping, and after that your involvement is mostly reviewing test results.
Not as part of this build. It is designed around the Zoho Books plan you already have, and licenses or upgrades are excluded. If a feature you want depends on another plan, we flag it in the written field mapping, before any work relies on it.
We run 50 documented scenarios on Zoho Books test records, covering duplicates, unknown suppliers, approval limits and bills due on different dates. You get the results, review them, and request changes over two rounds before the agent sees a single live supplier invoice.
Your team. The agent applies the rules you approved and routes anything unusual to a person, but approvals and the release of each payment run stay with named people. It offers no regulated financial, tax or investment advice, and your accountant keeps responsibility for the books.
