AI Agency Operations OS
Connects agency onboarding, delivery, reporting and knowledge into one system with shared client data and approval rules (no sales or proposal agents).
Client brand guidelines, past campaign learnings and creative templates are answered with citations, not searched for by hand.
In an agency, the answer usually lives in one account lead's head or a folder nobody can find. AI Agency Knowledge Base answers questions about client brand guidelines, past campaign learnings and creative templates in Slack, Teams or a web app, with a citation to the source. Permission groups keep each client's knowledge with the right team.

AI Agency Knowledge Base answers questions about client brand guidelines, past campaign learnings and creative templates, in a chat interface with citations back to the source document, so your team stops re-asking the account lead who already knows. Permission groups keep each client's knowledge with the right team.
Every time a designer asks which logo lockup a client allows, or a new hire hunts for last year's campaign retro, someone senior stops what they are doing. Multiply that across accounts and the account leads become a bottleneck, and mistakes reach clients when people guess instead. AI Agency Knowledge Base gives your team reliable, cited answers in the tools they already use. The Scope Card sets the content sources, the users and the permission groups before you buy, so you know exactly what is covered.
Staff ask the knowledge base in a chat interface and get answers drawn from client brand guidelines and templates. Each answer cites its source document, so the account lead is interrupted less.
Up to 2,000 documents across three content sources are indexed, including campaign wrap-ups you provide. A monthly content refresh adds new material, so last quarter's lessons stay findable.
Every answer links back to the source document, so people can open the exact template or guideline it came from. They work from the version you keep, not an old copy saved on a desktop.
Up to three permission groups control who can see which content. If one client's knowledge should stay with one team, the assistant answers from it only for members of that group.
Your portal lists these the moment you order. Delivery starts the working day after everything is in and your access is checked.
| Option | Delivery time | Price |
|---|---|---|
| Standard | 20–30 working days | $11,100 |
| Express | 15–25 working days | $12,500 |
| Rush | 10–20 working days | $13,900 |
Before you start: Record how many internal questions your account leads field in a typical week. Note how long a new hire usually takes before working on a client unaided.
These are things to track, not promised results. Outcomes depend on your data, your team and your market.
The build price is one-time. Running AI Agency Knowledge Base afterwards costs roughly $50 to $300 a month, covering AI model usage, the vector database and hosting, billed directly in your own accounts as your document count and usage grow.
AI usage during the build and testing is also billed to your accounts, so you keep ownership of every provider relationship. Nothing runs through us.
Ask about running costsIf you need something outside the Scope Card, add a note at checkout. You get a written Change Quote, and that work only starts once you accept it. Your original order runs on its normal timeline either way. Larger or bespoke projects go through the Custom AI request form instead.
Request a custom versionWe recommend monthly maintenance: monitoring, fixes, and a monthly allowance of change hours, which covers a new content source, an added permission group or a refreshed template library. It starts after the 30 days of support, bills monthly, and can be cancelled any month.
$555/mo (5% of the build price a month, includes 5 change hours)
Optional. Starts after the post-launch support period. Cancel any month.
How maintenance works| Do it yourself with a SaaS tool | Hire a custom agency | Upmark Labs | |
|---|---|---|---|
| Price | A knowledge-base tool bills per seat whether your team searches it or not | Tribal knowledge lives in whoever has been there longest | Ours is one fixed price, shown on this page before you buy |
| Scope | A knowledge-base tool is an empty search index you populate yourself | Knowledge depends on who wrote the last campaign retro, if anyone did | Ours is written on the Scope Card before purchase |
| Accuracy | A knowledge-base tool rarely checks answers against real questions before launch | Accuracy depends on whether the retro was actually thorough | Ours is checked against 60 benchmark questions with an accuracy report |
| Delivery | Sign-up is instant, indexing years of client files is not | Documenting campaign knowledge properly rarely happens on a deadline | Ours has a fixed delivery time shown before you buy, with faster options |
The one-time build price is shown in the price and delivery panel on this page, next to each delivery speed. It covers everything on the Scope Card: up to 2,000 documents from three content sources, up to three permission groups, the monthly refresh and 60 benchmark questions tested before launch. That price holds once your Scope Card is confirmed.
The general AI Professional Services Knowledge Base is built around a firm's own delivery methodology and internal playbooks. Agency Knowledge Base is organized around client brand guidelines, past campaign learnings and creative templates instead, the knowledge specific to the accounts you run. Choose based on which knowledge is causing repeated questions in your team.
It only answers questions, with a citation back to the source document, such as a client's brand guidelines or a past campaign's retro notes. If you want it actively producing content deliverables in a client's voice, that is AI Agency Content Engine, a separate build focused on generating content rather than answering questions.
Roughly $50 to $300 a month in your own accounts, covering AI model usage, the vector database and hosting. The figure grows with your document count and how much your team uses it. You pay providers directly. The one-time build price is separate and shown in the price and delivery panel on this page.
The price and delivery panel on this page shows the time for each speed, counted from the day your intake is complete and access is verified. Most of the build goes into indexing your documents and checking answers against 60 benchmark questions drawn from what your team really asks about clients.
It needs access to up to three content sources, such as your Google Drive, SharePoint, Notion or Confluence, plus a workspace admin for sign-in setup and your user and permission group list. Admin access and API keys are shared by adding our team as a user or creating a key you control, never by email, never given more access than the sources you named.
Small changes, such as a new permission group or an updated folder, fit inside the monthly change hours that come with maintenance. A fourth content source beyond the three in scope, or growth past 2,000 documents, gets a written Change Quote first.
Every answer includes a citation back to the specific document it was drawn from, so your team can verify it rather than take it on faith. Before launch, we run 60 benchmark questions with an accuracy report, and if the answer isn't grounded in an indexed document, it says so instead of guessing.
Order AI Agency Knowledge Base and client brand guidelines and campaign learnings answer with citations on a fixed delivery date. The scope above is what you get, in writing, before you pay.
